Cancellation policy - group programs

We understand that unforeseen circumstances may arise, making it necessary to cancel your registration. However, cancellations can significantly impact our group therapy programs and the children who benefit from them. Therefore, we have established the following cancellation policy to ensure the best possible experience for all participants:

1. Non-Refundable Deposit:

  • A $150 non-refundable deposit is required at the time of booking to secure your child’s spot in the group therapy program. This deposit covers administrative costs and preparation for the session.

2. Full Payment Deadline:

  • The remainder of the session fee is due two weeks before the session begins. This allows us to finalize group compositions and make necessary preparations.

3. Cancellation Policy:

  • More than 30 days before the session start date:

    • You may cancel your registration; however, the $150 deposit is non-refundable.

    • Any payments made beyond the deposit will be refunded in full.

  • 14-30 days before the session start date:

    • You may cancel your registration; the $150 deposit is non-refundable.

    • 50% of the remaining session fee will be refunded.

  • Less than 14 days before the session start date:

    • No refunds will be issued. This includes the $150 deposit and any remaining session fees.

    • If we are able to fill the vacated spot, we will provide a refund of the remaining session fee minus the $150 non-refundable deposit.

4. Special Considerations:

  • In cases of extreme emergencies or unforeseen circumstances, we may review the situation on a case-by-case basis. Please contact us as soon as possible to discuss your circumstances.

5. How to Cancel:

  • To cancel your registration, please contact us directly at hello@shannonrolph.ca. Written notice via email is required for all cancellations to ensure proper documentation.

6. Encouragement to Commit:

  • We kindly encourage families to carefully consider their schedules and commitments before booking to avoid cancellations. Consistent group composition greatly benefits the therapeutic process and enhances the experience for all participants.

We appreciate your understanding and cooperation with our cancellation policy. Our goal is to provide the best possible support and environment for your child and all participants in our group therapy programs.

If you have any questions or need further clarification, please don't hesitate to reach out to us.
